Under supervision, the ERM Administrative Assistant will provide
support to Enterprise Risk Management (ERM) by performing a variety
of administrative tasks including but not limited to managing
office supplies, answering phones, creating or completing reports
and managing correspondence while performing the essential duties
and responsibilities of the position.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Anticipate departmental needs and implement processes to ensure
efficiency.
- Retrieve and route incoming/outgoing mail, invoices and
electronic communications.
- Coordinate meetings, reserve conference rooms and notify
attendees of attendance requirements for team meetings, audits and
examinations.
- Establish uniform correspondence practices to compose emails,
memorandums and correspondence.
- Ensure electronic copies of all printed materials are created
and saved in the appropriate file location for easy retrieval.
- Answer ERM overflow calls, provide accurate and appropriate
information to callers or route call to appropriate personnel.
- Responsible for implementing a process for supply orders to
include evaluating needs, ordering, tracking, distributing and
monitoring costs.
- Responsible for keeping department storage rooms and common
areas clean and organized.
- Compile and produce various reports as requested by
management.
- Utilize the Patriot Officer Software to perform OFAC Checks and
process, 314a list updates, employee password resets, complete
system access requests to add/delete and modify employee access.
Conduct monthly validation of wire data transmissions to Patriot
Officer.
- Serve as back up to ERM, Manager for vendor management
software.
- Track and upload BSA documentation to the appropriate location
within the credit union s optical software.
- Complete various weekly File Maintenance reviews as
assigned.
- Assist with research and projects as needed
- Performs other duties and responsibilities as assigned.
Requirements
- High school diploma, GED, or equivalent plus 2 years of similar
or related experience
- Ability to communicate both verbally and in writing.
- Proficient in all Microsoft Office products.
- Ability to perform multiple tasks while maintaining good
organizational skills.
- Ability to work under pressure and within defined time frames
and deadlines.
Incumbent in position must adhere to all regulations and Addition
Financial policies/procedures related to the Bank Secrecy Act. Any
duties outside of the scope of this job description must be
approved in advance by a duly appointed supervisor to the incumbent
of this position.
